Why switch from Confluence to SharePoint now?

For many companies, the future of their Confluence platform is currently a matter of fundamental decision-making. Confluence Server is no longer supported, and Confluence Data Center will also reach its end-of-life on March 28, 2029. Companies with an existing Microsoft 365 strategy therefore do not necessarily have to migrate to the Atlassian Cloud: By migrating to SharePoint Online, existing knowledge can be transferred directly to the already established Microsoft 365 platform.

Atlassian Data Center has an expiration date

Atlassian is discontinuing Confluence Data Center by 2029. For companies with self-hosted Confluence environments, this means they will need to reassess their future knowledge platform anyway.

→ Plan your migration strategically now instead of acting under time pressure later.

Microsoft 365 is often already the strategic platform

Many companies have already adopted Microsoft 365 for collaboration, documents, identities, and communication.

→ Make knowledge available where employees are already working.

Reduce additional platform and licensing costs

Confluence Cloud is licensed on a per-user basis; depending on your needs, you may also need Premium or Enterprise plans, as well as additional Marketplace apps and, if applicable, other Atlassian services. Our solution is available at a fixed price, regardless of the actual number of users.

→ Get more out of your existing Microsoft investments.

A platform instead of parallel ecosystems

Running Confluence and Microsoft 365 in parallel means managing two platforms for administration, permissions, governance, search, integrations, and, in some cases, the same types of information. With SharePoint as the central knowledge platform, content can be more tightly integrated with Microsoft 365, Teams, Microsoft Search, and the existing Entra ID environment.

→ Less platform complexity and a more consistent digital work environment.

Key Questions to Ask Before a Confluence Migration

Will our Confluence macros continue to work?

Before the migration, we analyze the macros that are actually in use and define the appropriate mapping to SharePoint for each relevant macro. Many standard and advanced Confluence macros can be automatically converted to native SharePoint features or corresponding Rocketta components. Custom and third-party macros are also evaluated as part of the analysis.

Will the page structure, navigation, and permissions remain the same?

Yes, these structures are already taken into account during migration planning. Page hierarchies can be migrated to a corresponding SharePoint structure, internal links can be adjusted, and users and permissions can be mapped to Microsoft Entra ID and SharePoint.

Confluence to SharePoint

How long does a Confluence-to-SharePoint migration take?

This depends less on the sheer number of pages and more on the structure, macros, apps, attachments, permissions, and the desired SharePoint target configuration. After an initial analysis, we can estimate the required effort and develop a realistic project timeline. Larger environments are typically migrated in several phases.

How do we ensure that the migration goes smoothly?

Before the production migration, we perform a test migration (POC) using representative Confluence spaces. During this process, we check, among other things, page layout, macros, attachments, links, navigation, metadata, and permissions. The insights gained from the test migration are then incorporated into the production migration—and you can see what the migration results look like in your own environment and with your own data.

What will happen to Jira, draw.io, and other Confluence apps?

Content from Confluence apps is also included in the analysis. For common scenarios such as Jira, draw.io, Mermaid, or PlantUML, corresponding target mappings or extensions for SharePoint are available depending on the requirements.

How can we minimize the risks associated with migration?

Through analysis, test migration, automated transformation, and phased migration, we minimize technical and organizational risks. For larger environments, migrations can be carried out in waves and validated prior to the final cutover. The existing Confluence environment remains available as a reference until acceptance. Changes made since the test migration or the first migration can be specifically applied during the final cutover.
