Netze Duisburg – Migration from Lotus Notes to SharePoint: Plan circulation procedure for civil engineering works

To optimize the time-consuming processing of required inquiries for documenting pipelines in infrastructure-critical civil engineering within Lotus Notes, partial automation, and optimization using SharePoint were decided upon, along with a corresponding migration to that platform.

Since 2014, Rocketta’s SharePoint experts have been accompanying the journey of Netze Duisburg GmbH as a service provider, supporting them in automating business processes with custom solutions based on SharePoint. Netze Duisburg GmbH is Duisburg’s local distribution network operator and a wholly-owned subsidiary of Stadtwerke Duisburg AG. Its core tasks include planning, operating, expanding, and maintaining approximately 9,100 kilometers of supply networks for electricity, gas, water, and district heating. Nearly 500 employees work to secure and develop robust networks in the Duisburg area. Around the clock, they ensure that customers are supplied with electricity, gas, water, and district heating safely and without disruption. The network, approximately 9,100 kilometers long, is available to all customers without discrimination.

As the owner of network-bound infrastructures (electricity, gas, water, wastewater, telecommunications, and heat), Netze Duisburg GmbH is responsible for documenting networks and quality assurance of data.

The line owner must ensure that these lines are laid and operated correctly to prevent damage during civil engineering works. Additionally, it is mandatory to document their course and provide legally secure information.

An existing solution for documenting inquiries was based on Lotus Notes but required many manual steps and optimization. To increase the processing time and quality, it was decided to build and automate the process using SharePoint.

Extensive preparatory work was required before the actual migration of data from Lotus Notes to SharePoint or implementation. In particular, the requirements of different departments and subject areas involved in the process were captured in several workshops and merged into a concept.
